AMI is seeking a highly organized and proactive Administrative Assistant to join our team. This vital role supports our day-to-day operations by serving as the first point of contact for our clients and visitors. The ideal candidate will manage a multitude of administrative tasks including answering phone calls, processing emails, greeting guests, and coordinating meetings among other duties. This position plays a key role in maintaining the efficiency and professionalism of our office environment, contributing to the overall customer satisfaction and the smooth operation of our company.

Your Responsibilities Will Include:

  • Client and Visitor Engagement: Greet visitors in a warm and professional manner, ensuring they feel welcome and directing them appropriately. Serve as the primary point of contact for incoming calls, providing assistance or directing calls to the appropriate party.
  • Communication Management: Efficiently process incoming and outgoing communications, including emails and phone calls. Ensure timely responses and distribute information as necessary to the appropriate departments.
  • Administrative Support: Perform various administrative tasks to support team members, such as data entry, copying, filing, and managing office supplies. Assist in the administration of projects and provide support where necessary to ensure timely completion.
  • Customer Service: Provide exceptional service to our customers, addressing inquiries, and resolving issues promptly. Facilitate effective communication between customers and our sales, consulting, and installation teams.
  • Manufacturer Liaison: Act as a liaison with our manufacturers (Assa Abloy, Allegion, dormakaba, and subsidiaries) in coordinating communications and assisting with product inquiries and orders.

Qualifications and Skills

  • Experience in an administrative, receptionist, or similar role not required.  We will train you.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite and familiarity with email management.
  • Strong organizational skills, attention to detail, with the ability to multitask and prioritize effectively.
  • Customer service-oriented mindset with a polite and professional demeanor.
  • Ability to work independently as well as part of a team.
